Important information about surcharges, booking terms and conditions for Tropic Wings charter services.

Surcharges

Position Time

Coaches will be in position 10 minutes prior to scheduled departure time. Should you require buses in position earlier, an additional charge will apply.

Airport Pickup

Due to Cairns Airport Parking charges – any hourly jobs with pickups commencing or terminating at the airport will be charged an additional $15.00 for a 27-seat or smaller and $20.00 for the 53/57-seat coaches. Cairns airport parking is charged on a time basis which gives us 20 minutes to enter the loading area, greet passengers, load luggage and depart the airport. Should the arrival exceed this time, additional charges may apply.

The coach & driver will remain in the Airport holding bay until the Tour Leader has assembled passengers with their luggage, and ready for loading. At this time, we request the Tour Leader phone either the driver or our office on (07) 4041 9410 to advise they are ready for departure. For all groups requiring the driver to meet the group at the arrival hall, additional 30 minutes will be required to be booked and added to the booking.

Luggage: Our vehicles allow for 1 piece of luggage and 1 piece of hand luggage per person. Additional charges may apply if passenger luggage exceeds this.

Over Time

Tropic Wings Coach Tours will charge for jobs that run over the specified time booked, unless due to unforeseen delays e.g., flight delays or traffic. The over time charge will be $40.00 per 15 minutes.

Public Holidays

All charters conducted on a Qld Public Holiday will incur a surcharge and will be included in the quoted cost.

Weekends

All charters conducted on a weekend will incur a surcharge and will be included in the quoted cost.

Night-time Jobs

Any charters or part thereof conducted between 7:00 PM–7:00 AM will incur a surcharge and are included in the quoted cost.

Fuel Levy

Should fuel prices rise above $2.50 per litre a fuel levy may be applied.

Terms & Conditions

  1. No alcohol to be consumed on any vehicle.
  2. Cleaning fee: Tropic Wings reserves the right to charge a cleaning fee of up to $1,000.00 when required.
  3. Refundable Bond: A bond payment of $1,000.00 per vehicle may be required to cover damages and/or cleaning charges if the vehicle is left in an unsatisfactory condition or any extended time on your charter not originally booked.
  4. Cancellation fees apply as follows: cancellations made more than 24 hours before departure incur no fee; cancellations made within 24 hours but before 5:00 PM the day prior to travel incur a 50% fee; cancellations made after 5:00 PM the day prior to travel incur a 75% fee; cancellations made on the day of travel incur a 100% fee.
  5. Any groups that fail to load will incur a 100% cancellation fee.
  6. Any group bookings that include entrance fees or meals booked on your behalf by Tropic Wings Pty Ltd that cancel within 24 hours will incur a 100% cancellation fee.
  7. Airport pickups: The coach will arrive 30 minutes after the flight arrival time for Domestic Flights and 60 minutes for International Flights. If you require the coach at the airport prior to this time, additional charges will apply.
  8. Amendments may incur a charge if made within 24 hours of the scheduled departure time and will be subject to availability.
  9. All bookings, amendments, cancellations, and quote requests must be forwarded to the Groups/Charters department in writing by email. A confirmation will be sent by us after receiving any of the above.
  10. Tropic Wings Pty Ltd reserves the right to upgrade any client into a larger vehicle.
  11. Tropic Wings Pty Ltd reserves the right to cross hire charter work to other Cairns coach operators in the region.
  12. Max 27 seat vehicles can visit Cape Tribulation, and a Daintree Ferry Fee is levied on both coach and trailer by the ferry operator.
  13. Tropic Wings Pty Ltd reserves the right to amend rates at any time should there be any increases in costs (including, but not limited to, fuel, wages or taxes) during the effective period.
  14. For those clients who do not have credit facilities, payment must be received in full 14 days before a group's scheduled arrival.
  15. The attached rates are based on significant levels of business. Tropic Wings Pty Ltd may terminate this contract or re-issue with written notice if the agent is found not to be distributing or promoting the product without bias.
  16. These rates are valid on the condition that the pre-arranged trading terms are adhered to.
  17. Accounts which go into arrears will not be entitled to the above.
  18. In relation to any Pandemic, we reserve the right to request customers to follow all government regulations current at time of service. Failure to follow these directives may result in refusal of travel.
